Presenting at the Conference

Poster Presentations will be available to attendees in Exhibit Hall E throughout the day on both Thursday and Friday. Posters open at 10:00am on Thursday and close at 3:00pm on Friday. Your poster must be up for the entirety of this time!

Top Tips:

  • Be sure to contact the store or service printing your poster to make sure they are able to print in the size you need (e.g. 3’x5, 3.5’x5′, or 4’x5′).
  • Be on the lookout for an email with your poster number (and instructions) a week before the conference.
  • All posters must be set up by 10am on Thursday and available through Friday at 3pm, so be sure to register for the full conference and plan your schedule and travel accordingly.

Before the Conference

  • Register for the full conference so that you meet the requirement that your poster be available for the full poster presentation time on the schedule.
  • Posters should be professionally printed beforehand and brought with you to the conference.
    • Remember, your poster will be hung with push pins, so do not print on foam board or anything too thick.
  • Travel tubes can be purchased to transport the poster on an airplane.
    • If you use a travel tube, make plans for storage once your poster is set up – there will not be tube storage available in the poster hall.

Poster Set-Up on Thursday Morning

  • Bring your poster to Exhibit Hall E to set it up any time Thursday 6:30am – 10:00am. Posters must be up by 10am.
  • Refer to the email you receive a week before the conference for your poster number and find that number board in the hall.
  • Use the provided pushpins to hang your poster on the board – no need to bring your own!
  • There are no tables or chairs, so additional items (e.g. handouts or business cards) must be hung on the board itself.
  • Remember that storage for poster tubes is not provided, so have a plan for what to do with it!

Presenting Your Poster Thursday-Friday

  • Attendees view posters throughout the conference Thursday morning – Friday afternoon and your poster must be displayed the entire time.
    • From the Call for Abstracts: “As posters are available for viewing on multiple days, poster presenters must register for the full conference.
  • Meet the Poster Presenters on Friday at 10:30am: Please stand with your poster on Friday from 10:30am – 11:30am to meet and chat with attendees about your work.
    • You are welcome, but not required, to stand with your poster for as long as you like during the poster presentation times.
  • Take your poster down: Friday, 3:00pm – 5:00pm
    • Posters not taken down by 6pm may be thrown away.

Online Poster Gallery

During the conference, your poster will also be viewable to all attendees in an online poster gallery. This enables virtual attendees to benefit from your presentation and earn contact hours as well.

  • Only posters uploaded by the program materials deadline of August 4 will be included in this gallery.
  • Remember when obtaining your permissions, permission must be obtained for presentation in the virtual poster gallery.
  • Any images for which you do not have permission will be removed from your poster in order to present it through the virtual poster gallery.
  • Medical education/industry supported posters do not appear in the Online Poster Gallery

Poster Presentations Evaluations

Each poster will be listed on the online evaluation website with a link to the poster in the Online Poster Gallery (unless presenter specifies otherwise). Your poster will be evaluated based on the extent to which it facilitates a change in nursing practice, education, research or administration.

Contact hours are determined by the number of posters evaluated using the following thresholds:

  • 6-8 posters = 1.0 contact hour
  • 9-11 posters = 1.5 contact hours
  • 12-14 posters = 2.0 contact hours
  • 15-17 posters = 2.5 contact hours
  • 18-20 posters = 3.0 contact hours
  • 21-23 posters = 3.5 contact hours
  • 24+ posters = 4.0 contact hours

The evaluations website will automatically calculate the contact hours earned based on the number of posters evaluated. The maximum number of total contact hours that can be claimed for posters is 4.0.

Upload presentation slides, disclosures and permissions, educational design form, and key takeaway points for learners.

Upload a PDF of your poster, references, and permissions for all images.
